Your diary keeps the work flowing. This guide covers booking appointments, letting clients request their own slots through their portal, keeping your diary free of clashes, and tying each job to the right site address.
Setting your availability
- 1 CMA keeps your diary free of clashes for you: when you save an appointment, that time is taken, and CMA refuses any new appointment that overlaps it - so you can never be double-booked.
- 2 There is no separate working-hours screen to fill in. You shape your availability simply by booking time - anything already in your diary counts as busy.
- 3 To block out time you are not working - a holiday, a day off, or an existing job - add an appointment covering it so nothing else can land on top.
- 4 When clients book their own slots, CMA offers standard weekday times across the next two weeks and automatically hides any you are already booked for, so the same slot can never be taken twice.
Booking an appointment
- 1 Open Appointments from the main menu and find the Create Appointment panel.
- 2 Choose the client and give the appointment a title such as "Site survey" or "First fix". If the client has saved addresses, pick the site address too.
- 3 Set the start and end date and time. CMA starts you off an hour from tomorrow morning, so just adjust it to suit.
- 4 Add any notes for yourself, then select Save Appointment. If the time clashes with something already booked, CMA warns you and saves nothing.
- 5 Use the List, Week and Month buttons at the top to see your diary whichever way suits you, and move between dates with the arrows.
Letting clients book their own slots
- 1 First give the client portal access and switch on their Meetings permission - open the client, go to Portal access, set the permission and save.
- 2 In their portal the client opens Book a meeting and sees your free weekday slots for the next two weeks.
- 3 They pick a slot and confirm. It drops straight into your diary as Scheduled, and CMA emails both you and the client to confirm it.
- 4 A client can cancel one of their own bookings from the portal up until 24 hours before it starts - any closer and they need to contact you directly.
- 5 CMA emails you whenever a client books or cancels, so you always know where you stand.
Managing appointment statuses
- 1 Every appointment shows a status badge in your list, so you can see where it stands at a glance.
- 2 A new appointment - whether you booked it or a client did - starts as Scheduled.
- 3 To call one off, select the cancel control next to it. Its status changes to Cancelled and the time is freed up for something else.
- 4 Cancelled appointments stay on your record rather than disappearing, so you keep a full history of what was booked and what was called off.
Linking appointments to client addresses
- 1 When you add or edit an appointment, pick the client site address from the Site address list. It shows every address saved on that client, with their primary address first.
- 2 The list only appears once you have chosen a client who has at least one saved address - add addresses on the client's record first (see Managing Clients).
- 3 The address travels with the appointment: when you add it to a calendar with the Add to calendar button, the address is set as the event location, so directions are a tap away on the day.
- 4 Leave it on "No specific address" for phone consultations or anything where a site address does not apply, and change or clear it any time by editing the appointment.
