Invoices & Payments

Getting paid is the point of the work. This guide covers raising an invoice, getting it in front of the client, taking card payments online through your own Stripe account, and keeping track of what has been paid and what is still owed.

Creating an invoice
  1. 1 Open Invoices from the main menu and select Create. A new invoice opens with a reference already filled in (such as INV-0001) and a due date set 30 days ahead.
  2. 2 Choose the client the invoice is for.
  3. 3 Select Add item to add a line. Pick a product from your catalogue and CMA fills in the description, unit price and VAT rate for you, or type a one-off description by hand.
  4. 4 Set the quantity on each line - the subtotal, VAT and total update automatically as you type.
  5. 5 Leave the status as Draft to finish later, then Save. You can also raise an invoice straight from an accepted quote with Generate invoice, which copies the line items and totals across for you.
Sending an invoice to a client
  1. 1 Open the invoice and use the status control next to the reference to mark it as Sent - this records the date it went out.
  2. 2 Clients who have portal access with the invoices permission switched on then see the invoice under Billing in their portal, with a Pay Now button.
  3. 3 To send a copy yourself, select Download PDF and attach it to an email or message.
  4. 4 Once an invoice passes its due date, CMA can email the client polite payment reminders automatically - manage these under your team settings.
Tracking partial payments
  1. 1 When a client pays online by card, CMA records the payment against the invoice and updates its status for you - Partially Paid while some is still outstanding, or Paid once the full amount is covered.
  2. 2 You can also set the status by hand: open the invoice and choose Partially Paid or Paid from the status control if you have taken money another way, such as a bank transfer or cash.
  3. 3 The client's Billing page in their portal shows a running Total Paid and Amount Due, so you can both see what is left.
  4. 4 A fully paid invoice can be downloaded as a receipt from that same Billing page.
Setting up online card payments
  1. 1 Go to Settings, open your team settings, and find the Billing & Payment Details section.
  2. 2 Paste your Stripe secret key (it begins with sk_live_) into the Stripe Key field and Save. The key is encrypted before it is stored.
  3. 3 Payments go straight to your own Stripe account - CMA never holds the money, and your client's card details never touch CMA.
  4. 4 Once a key is saved, a Pay with Stripe button appears on every unpaid invoice in the client portal. Without a key, clients see a message asking them to contact you for other payment options.
Viewing payment history
  1. 1 Each invoice shows its current status - Draft, Sent, Partially Paid, Paid or Overdue - beside its reference, so you can see where it stands at a glance.
  2. 2 Open Invoices from the main menu to see every invoice for your business in one list, newest first, with its client, total and status.
  3. 3 In the client portal, the Billing page gives the client their own history: Total Paid, Amount Due, and every invoice with a Pay Now or Receipt button.
  4. 4 Online card payments update these figures automatically the moment Stripe confirms them.
