Documents & Media
Job sheets, certificates, mood boards, before-and-after photos - every job generates files. This guide covers storing documents, sharing them with the right clients, organising per-client downloads into folders, and letting clients send files back to you.
Uploading documents for clients
- 1 Open Documents from the main menu and select Upload Document.
- 2 Choose the file - PDFs, Word and Excel files, images, videos and zips all work, up to 10MB each - and add an optional description so you can find it later.
- 3 Pick a client to share the file with them straight away, or leave the client blank to keep it in your own library.
- 4 To share a document with more than one client - terms, care guides, certificates - select Share on it and tick every client who should have it.
- 5 Use the filter to switch between All documents, Library only and Shared only, and the search box to find files by name or description.
Organising files into folders
- 1 Folders live on each client's record: open the client, go to Quotes & invoices, and scroll to the Shareable downloads card.
- 2 Under Create a folder, give the folder a name - "Certificates", "Sign-off pack", "Manuals" - and optionally set a folder password.
- 3 When you upload files, use the Into folder list to drop them straight into a folder, or leave it on No folder for loose files.
- 4 Every file and folder gets its own share link to send to the client, and you can password-protect individual files too.
- 5 Deleting a folder also deletes the files inside it, so move anything you want to keep first.
Building a tagged photo portfolio
- 1 Open Media from the main menu and select Upload to add your job photos - before-and-afters, finished work, product shots.
- 2 Open any photo to manage its tags: type a tag name (with an optional category such as room or material) and select Add.
- 3 CMA suggests tags you have already used on other photos, so one click keeps your labels consistent - no five spellings of "bathroom".
- 4 Remove a tag from a photo at any time with its remove control.
- 5 Over time the tags turn your uploads into a searchable portfolio of your work, organised by room, job type or finish - and they show alongside the photos clients see in their portal.
Client document uploads
- 1 Clients with the Files permission can upload from the Project Files & Inspiration page in their portal - photos, sketches, PDFs and other documents, up to 10MB each.
- 2 CMA files each upload for you automatically: images go into Media and documents into Documents, so everything lands in the right place.
- 3 You get an email whenever a client uploads, and their files appear under Recent uploads on the client record.
- 4 A client can also remove a file from their portal page if they uploaded something by mistake.
